Upgrade Dynamics GP to Dynamics 365 Business Central

Microsoft Dynamics GP (prev. Great Plains) is a great ERP product that has evolved over years and is now used by more than 30,000 companies worldwide.

Although we have recently seen a new version release – Dynamics GP 2018 R2 – the roadmap of Microsoft is clearly set: Dynamics GP will have a continued support for at least another 10 years BUT Dynamics 365 Business Central is the product to upgrade to. Why is that?

1. Microsoft is putting most of its attention to developing Dynamics 365 Business Central rather than new functionality of Dynamics GP. Try and compare the two in terms of available functionality, integrations and you’ll see that Business Central is the product of the future;

2. Microsoft has released an intelligent cloud / sync option for Dynamics GP 2018 R2 users which connect the GP data to Business Central for using the cloud capability GP does not have. This is clearly the link needed to transform the data from Dynamics GP to Business Central and help the companies make the transition.

So what are your options if you are running an older version of Dynamics GP?

You may upgrade to Dynamics GP 2018 R2 and stay on the latest version, but you would at least stay supported and loose the risk of sensitive data stolen;

If you’ve performed the upgrade to the latest GP version, you may use the intelligent cloud sync option and get access to the cloud capabilities, such as cash flow forecasts, integrated AI templates;

You can start fresh with balances in Dynamics 365 Business Central. This way you would the upgrade cost and could start using all the Business Central capabilities;

You can migrate your transactional data to Dynamics 365 Business Central using existing tools. However, if you would like to migrate the data inside add-ons you had, you would probably loose some of it since there are no 1:1 add-ons for Business Central.

Why Upgrade to Dynamics 365 Business Central?

  1. Increased security by staying on supported version. Microsoft supports only versions running 5 years behind, meaning that older versions do not receive the updates and thus run a risk for a database breach. When it comes to business data, you want to be extremely careful. Security is something companies do not think of before any incidents take place. However once that happens it is too late. In order to prevent the accident, you should take measures – start with staying current.
  2. Special offer. If your company has bought Dynamics GP before October 31st, 2016, and is still active on the Enhancement plan, you may apply for an up to 40% discount on Business Central licenses. In some cases, this could offset the price of the upgrade.
  3. Continuous Free Business Central upgrades. Once you are on Business Central cloud version, you can forget about future upgrades – they will be done every month at no extra cost. In fact, you may not even notice that one happened.
  4. Seamless integrations with Microsoft Office, Microsoft Flow, Power BI and Dynamics 365 for Sales. Dynamics 365 Business Central now includes native integration inside outlook where you can access your customer data. Microsoft Flow allows a non-technical user to set up a chain of events, i.e. low customer balance could trigger an e-mail to the warehouse manager. Power BI allows for feature rich reporting at no extra cost for Business Central cloud users.
  5. Universal app experience. Business Central users now receive one experience regardless of their device.
